How do I switch bookkeepers without losing data?
Short answer
Give the new bookkeeper user access to your accounting software, request the prior bookkeeper's reconciliation reports and working files, and switch at a month-end. Keeping your own subscription helps preserve access, but check exports, attachments and opening balances during the handover.
Detailed answer
Create a handover baseline
Choose a clear cut-off date and obtain a trial balance, bank reconciliation reports, open invoice and bill lists, tax returns and supporting schedules. Confirm who owns the software account and whether historical records and attachments can be exported. Staying in the same subscription usually avoids a full migration, but missing working papers still need attention.
Check before removing access
Have the incoming bookkeeper compare opening balances with the last approved reports and identify unfinished periods. Agree who answers historical queries and who completes outstanding filings. After the handover is checked, revoke old accounts, review connected apps and retain an archive of reports required for record keeping.
